BILLmanager initial setup

With the billing system installed, you need to configure its main settings. The article below goes you through the steps you need to follow to start working in BILLmanager.


1. Settings

The billing system comes with as wide range of options that you can use to manage your hosting services and user accounts. For example, you can provide Shared hosting services, dedicated servers or SSL certificates and much more. Go to the Features module to find a complete list of the billing features. To activate the one you need, click the Enable button Image:p-on.png. If you are not going to use all features, do not activate them.

After you have activated the selected services, they will be displayed in the "Services" section, and some features will be shown in the corresponding modules. For example, if you activate "Create PDF", a new button allowing to print an invoice in the PDF format will be displayed in the Payments module.

If you are going to provide services to customers from different countries or generate documents in multiple languages, you need to add localisations.

Go to the Locale management module and click the "New" button Image:T-new.png. Enter a localisation name, such as "Spanish", and the corresponding ISO code. The localisation name is only used in billing panel, and your clients won't see it.

If you need accounting documents, such as contracts, invoices, etc., you can add a document template not to create a new one every time you send it to your clients.

To inform a client about insufficient funds on his personal account or disk space threshold limit, go to the Email notifications module to activate Image:p-on.png required notifications.

You can edit a notification in the Message templates module. Click the "Test" button Image:T-start.png to view the notification that will be sent to your clients.

The billing system will automatically send notifications to the email address that your client provided in the General settings module.

2. Directory

In the Directories section you can select parameters that you may need when working in BILLmanager.

If you are going to create multiple Companies to provide services to foreign customers, you may want to use different currencies. Go to the Currencies module to see a complete list and select the currencies you want to use.

When using multiple currencies, set their Exchange rate. Select a required currency on the list, click the button Image:T-new.png and fill out the form that will be displayed.

In the Units of measure module you can add units of measure that will be further used in the billing system for processing your client's services.

3. Integration

In the Datacenter management module you can add a new data center where your processing servers will be housed. Click the "New" icon Image:T-new.png and create a data center. For your convenience you may name them according to their geographic location, if your data centers are located in different cities or countries.

Add servers - select the data center that you have created on the previous step, choose a control panel panel to manage this server, provide the maximum number of clients that can be located on this server, and other necessary parameters.

4. Provider

Before you start providing services to your clients, you need to create Projects. Projects are web-sites where clients can order your services. You may have multiple projects depending on type of services, their prices, countries and other parameters.

Click the "New" button Image:T-new.png to add a new project. Choose currency and payment methods that will be used for transactions.

Go to the Companies module to create a new company or change properties of an existing one. A company is a legal entity that is used in BILLmanager for clients management (for example, you can create a company that will provide services only to clients from the United States). If you are running BILLmanager Corporate, you can assign your companies to the hosting projects.

You can add a wide range of payment methods, such as credit cards or wire transfer.

Set up tax rates and special rules that will be applied when providing services to your your clients. You can choose a client's status (individual, company or sole proprietor) and his country. For example, you can assign the specific company to provide services only to companies registered in Australia, or individuals from the United States and Canada.

Add administrators that will process clients' requests (tickets), if they have problems with your services. Click the "Privileges" button Image:T-rights.png to set up privileges for the newly created administrator - you can select the modules of the billing panel that this administrator can access. For example, your technical won't see the modules "Contracts", "Invoices" and other similar modules. You can also assign administrators to departments.

5. Products

Go to the Products section to add tariff plans packages.

A service package is a set of services that you offer to your clients, including service prices, order periods and billing types. You can create multiple service packages that will vary depending on their cost, billing types, etc. You can choose add-ons and order periods (you can do so either when creating a package or later by selecting corresponding modules Order periods Image:T-addon.png and Package details Image:T-period.png.

Once you are done, go to the Kinds of services module to add services, such as "Consulting services" or "Domain registration".

In the Item types module add products and services that you want to sell to your clients. For their flexible configuration, create add-ons that may include CPU, RAM, disk space, etc.

If you want to allow your clients to order additional services, you need to create enumeration and configure their parameters. For example, you may add the "Operating system" enumeration and split it into "FreeBSD", "Debian" или "Centos" allowing your customers to choose an operating system they need.

Add a service agreement that your client must read and accept before purchasing a service.

In the Agreements module click the "New" button Image:T-new.png and type in the text of your service agreement. If you have configured localisations, you can type in the text in selected languages.

6. Global settings

Once you are done with the initial setup, go to the Global settings module to configure various policies of the billing panel.
